Responsibilities
- Front Line Operations: Greet and welcome visitors with a warm and professional demeanor, ensuring a positive first impression for all clients and guests.
- Communication Management: Answer, screen, and direct phone calls efficiently; take accurate messages and relay them promptly to the appropriate staff members.
- Administrative Support: Handle incoming and outgoing mail, manage daily correspondence, and handle basic data entry and filing tasks.
- Appointment Scheduling: Maintain the company calendar and schedule appointments, meetings, and conference room bookings using Microsoft Outlook or Google Calendar.
- Office Management: Monitor the reception area, ensure it is tidy and well-stocked with necessary supplies, and coordinate with facilities for maintenance.
- Customer Service: Assist visitors with directions and provide general information about the company to ensure a seamless experience.
Qualifications
- Experience: Previous experience as a receptionist or in a similar administrative support role is preferred but not required for top candidates.
- Education: High school diploma or GED equivalent is required.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Professionalism: Ability to maintain a professional appearance and demeanor at all times.
- Multi-tasking: Strong organizational skills and the ability to prioritize tasks effectively in a busy environment.
