Responsibilities
- General Office Management: Oversee the daily operations of the front office, including answering multi-line phones, greeting visitors, and managing incoming and outgoing mail.
- Document Management: Maintain accurate and organized digital and physical filing systems, ensuring all documents are easily retrievable and compliant with company protocols.
- Scheduling & Coordination: Manage calendars, schedule meetings, coordinate conference rooms, and assist with travel arrangements for executive staff.
- Inventory Control: Monitor office supplies and equipment inventory, placing orders as needed to ensure the office is fully stocked.
- Customer Support: Serve as the primary point of contact for clients and vendors, answering inquiries via email and in person with a high degree of professionalism.
- Data Entry: Accurately input data into company databases and prepare reports using spreadsheet software.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Business Administration is a plus.
- Experience: Minimum of 1-2 years of experience in an administrative or office support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with all levels of staff and clients.
- Organization: Strong attention to detail and the ability to multitask effectively in a fast-paced environment.
- Integrity: Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
