Responsibilities
- Manage multi-line phone system with 100+ daily calls while maintaining professional call etiquette
- Coordinate complex executive calendars across 15+ senior professionals using Microsoft Outlook
- Oversee VIP visitor protocol including security clearance, badge issuance, and escort coordination
- Process incoming/outgoing correspondence and confidential documents with discretion
- Manage conference room scheduling and audio-visual equipment coordination
- Support executive assistant functions including travel arrangements and expense reporting
- Maintain professional reception area presentation standards
- Collaborate with building management on facility operations and vendor coordination
Qualifications
- Minimum 3 years executive receptionist experience in professional services/luxury hospitality
- Expert knowledge of Microsoft Office Suite and scheduling software
- Exceptional written/verbal communication skills demonstrated through portfolio
- Ability to maintain composure during high-pressure situations
- Discretion handling confidential information (NDA required)
- Professional appearance and demeanor suitable for C-level interactions
- Experience with multi-line phone systems and visitor management systems
- Associates degree in Business Administration or equivalent certification
