Responsibilities
- General Office Management: Oversee the day-to-day operations of the front office, including managing incoming calls, emails, and visitors with a professional and welcoming demeanor.
- Data Entry & Records Management: Accurately input and update data into our database systems, ensuring all records are organized, secure, and easily retrievable.
- Scheduling & Coordination: Manage the calendar for department heads, schedule meetings, and coordinate travel arrangements for the executive team.
- Document Preparation: Prepare, proofread, and distribute internal communications, memos, and reports. Maintain and organize physical and digital filing systems.
- Inventory Control: Monitor office supply levels and place orders to ensure the office is always stocked with necessary materials.
- Event Coordination: Assist in planning and executing company events, team-building activities, and client meetings.
- Support Projects: Provide ad-hoc administrative support for various departmental projects as needed.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration or a related field is a plus.
- Experience: Previous experience in an administrative role is preferred, but we are willing to train the right candidate with strong potential.
- Software Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and have a fast typing speed (40+ WPM).
- Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally with clients and staff.
- Organization: Strong attention to detail with the ability to prioritize tasks and manage time effectively in a multi-tasking environment.
