Responsibilities
- Calendar Management: Manage complex calendars, schedule meetings, arrange conference calls, and coordinate travel itineraries for executives.
- Document Control: Prepare, edit, and distribute correspondence, memos, reports, and presentations using Microsoft Office Suite.
- Communication Hub: Act as the primary point of contact for internal and external inquiries, routing messages and taking detailed minutes during meetings.
- Project Coordination: Assist in organizing company events, managing office supplies, and maintaining filing systems both physical and digital.
- Data Entry: Accurately input and update data into CRM systems and spreadsheets, ensuring all records are up-to-date and error-free.
- Vendor Relations: Liaise with vendors, service providers, and contractors to ensure office operations run seamlessly.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Business Administration or related field is a plus.
- Experience: Proven experience as an Administrative Assistant or in a similar office support role (1-2 years preferred).
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling software (e.g., Calendly, Google Calendar).
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with all levels of staff.
- Organization: Exceptional organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Integrity: Discretion and high level of confidentiality when handling sensitive information.
