Responsibilities
- Manage and distribute incoming and outgoing correspondence, including email, mail, and faxes, with a high degree of professionalism.
- Provide exceptional front-desk support, including greeting visitors, answering multi-line phones, and directing inquiries to the appropriate department.
- Prepare and organize meeting materials, take minutes during executive meetings, and ensure meeting rooms are set up efficiently.
- Assist in maintaining accurate and up-to-date digital and physical filing systems to ensure easy retrieval of documents.
- Perform data entry tasks, update customer records in our CRM system, and generate standard reports.
- Order and manage office supplies, inventory, and equipment to ensure the workspace remains fully operational.
- Collaborate with team members on various administrative projects and special events.
Qualifications
- High school diploma or GED required; Associate’s degree or certificate in Business Administration is a plus.
- Proven experience as an Office Assistant, Administrative Assistant, or in a similar support role (1-3 years preferred).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent verbal and written communication skills with a focus on clarity and tone.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively in a multi-tasking environment.
- Attention to detail is critical; ability to proofread documents and spot errors in data entry.
- Must possess a valid driver’s license and reliable transportation.
