Responsibilities
- General Administration: Manage incoming and outgoing correspondence, including emails, faxes, and postal mail, with high attention to detail.
- Scheduling & Coordination: Schedule meetings, arrange conference calls, and manage the executive calendar to ensure optimal time management.
- Document Management: Prepare, proofread, and distribute internal documents, reports, and presentations using Microsoft Office Suite.
- Office Supplies: Monitor inventory levels, order necessary office supplies, and maintain a well-organized workspace.
- Reception Duties: Greet visitors, answer multi-line phones, and direct inquiries to the appropriate department.
- Data Entry: Accurately input and update data into company databases and filing systems.
Qualifications
- Education: High school diploma or GED required; Associate degree or certificate in Office Administration is a plus.
- Experience: Proven experience (1-2 years minimum) as an Office Assistant or in a similar administrative role.
- Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and basic computer skills.
- Communication: Excellent written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
