Responsibilities
- Administrative Support: Manage daily office operations, including answering phones, responding to emails, and routing inquiries efficiently.
- Calendar Management: Coordinate and schedule meetings, appointments, and travel arrangements for senior management.
- Document Handling: Prepare, proofread, and distribute internal memos, reports, and presentations with a high degree of accuracy.
- Record Keeping: Maintain and organize digital and physical filing systems to ensure easy retrieval of company records.
- Office Supplies: Monitor inventory levels and reorder necessary office supplies to ensure smooth daily operations.
- Reception Duties: Greet visitors warmly, direct them appropriately, and handle incoming and outgoing mail.
- Event Coordination: Assist in organizing company events, team-building activities, and off-site meetings.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Certificate in Business Administration is a plus.
- Experience: Minimum of 1-2 years of experience in an administrative or clerical role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn internal software quickly.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks in a busy environment.
