Responsibilities
- Manage calendars, schedule appointments, and coordinate meetings using Outlook and Google Workspace
- Process incoming communications (calls, emails, mail) and route inquiries to appropriate departments
- Prepare, edit, and distribute professional documents including reports, presentations, and correspondence
- Maintain digital and physical filing systems with strict attention to confidentiality protocols
- Assist with onboarding processes including new hire paperwork and equipment setup
- Support departmental projects by conducting research, compiling data, and creating summaries
- Coordinate travel arrangements and expense reports using Concur and similar platforms
Qualifications
- High school diploma or equivalent; associate degree preferred
- 1-2 years of office administration or customer service experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Exceptional written and verbal communication skills
- Strong organizational abilities with attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Basic knowledge of office equipment (copiers, scanners, phone systems)
- Valid Arizona driver's license and reliable transportation
