Responsibilities
- Manage Front-End Operations: Greet visitors warmly, manage the reception area, and ensure a professional and organized appearance for the office at all times.
- Communication Hub: Answer, screen, and direct incoming calls to appropriate personnel; take accurate messages and handle inquiries professionally.
- Scheduling & Coordination: Manage the appointment calendar, schedule meetings, and coordinate conference room bookings to optimize office efficiency.
- Administrative Support: Handle incoming and outgoing mail, process invoices, and perform general data entry and filing duties with a high degree of accuracy.
- Vendor & Guest Relations: Order and receive office supplies, manage vendors, and ensure a comfortable experience for all guests and visitors.
Qualifications
- Experience: Minimum of 1-2 years of experience in a front desk, reception, or administrative support role.
- Professionalism: Exceptional interpersonal and communication skills with a polished and professional demeanor.
- Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with phone systems (e.g., Avaya, RingCentral).
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Education: High school diploma or GED required; Associate’s degree or relevant certification is a plus.
