Responsibilities
- General Office Management: Oversee the daily operation of the front desk, including greeting visitors, managing the reception area, and ensuring a professional environment.
- Communication Support: Handle incoming and outgoing communications, including email correspondence, phone calls, and mail distribution, ensuring no message goes unnoticed.
- Scheduling & Coordination: Manage complex calendars for department heads, coordinate meeting schedules, book travel arrangements, and prepare meeting agendas and materials.
- Data Entry & Reporting: Maintain accurate digital and physical records, enter data into CRM systems, and generate weekly reports to track departmental performance.
- Document Management: Create, edit, and format documents using Microsoft Office Suite; ensure all files are properly archived and organized.
- Vendor Liaison: Assist in ordering office supplies, coordinating with service providers, and managing inventory levels.
- Event Coordination: Support the planning and execution of company events, team building activities, and client networking functions.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic knowledge of database management software.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Proven ability to multitask, prioritize tasks effectively, and manage time under strict deadlines.
- Attention to Detail: A keen eye for detail with the ability to detect errors in data and documentation.
- Interpersonal Skills: Ability to work collaboratively in a team-oriented environment and build rapport with colleagues and clients.
